Attendance

Attendance tracking in one save per session

Trainers mark each session from the same list the club sees: who was there, who was late, and who was absent, excused or sick. One save sets the whole session, and the club gets a report per group and member without anyone typing it up.

Trainers mark it in their own portal, and the club sees it straight away.

How it works

Marking a session

  1. 1

    Open the session

The list is everyone who was in the session's group on that day, plus anyone who signed up for it. Next to each name you see whether they said they were coming.

  2. 2

    Mark who was there

Pick a status for each member, or mark everyone present at once and change the few who were not. That can be undone until you save.

  3. 3

    Save once

One save sets the whole session. Anyone on the list you left out is recorded as absent; someone who joined the group later is not.

  4. 4

    Read the report

The club, and each trainer for their own groups, sees attendance per member: sessions, present, late, absent, excused, sick, and a percentage.

Five statuses, and a reason when it matters

Present, late, absent, excused and sick. Each can carry a short note, such as the reason for an absence.

  • Only present and late count as being there, for the session's capacity and in the report.
  • Excused and sick are shown apart from absent, so the club can read them differently.
  • Guests who are not members can be added to a session; they are counted, not listed.

Who sees what

  • A trainer marks and sees only the sessions of the groups they run.
  • Other members are never told who was absent, excused or sick, or why: a sick note stays with the club and the session's trainers.
  • The club's managers see everything.

The report

Choose a period of up to about 18 months and, if you like, one service. For every member you get the sessions recorded, how many times they were present, late, absent, excused or sick, and an attendance percentage: present and late over everything recorded.

  • Only sessions a trainer or the club actually marked are counted, so a planned session nobody held does not lower anyone's attendance.
  • Export it as CSV, in a standard or an Excel-friendly layout.

Mistakes are easy to fix

A save replaces the session's picture rather than adding to it: un-marking someone takes effect, and a session nobody came to can be saved as exactly that. Two people saving the same session at once cannot mix their lists; one whole save wins.

A session cannot be marked before it has been held.

FAQ

Questions

Can trainers mark attendance themselves?

Yes, in their own portal, for the sessions of the groups they run.

How is the attendance percentage counted?

Present and late, over every session recorded for the member in the period. Excused and sick count as not there, but are shown separately.

Do other parents see who was sick?

No. Members only ever see who was there; absences, sick notes and reasons stay with the club and the session's trainers.

Can members sign up for sessions themselves?

Yes, from their portal or from a link in an email, as long as the session has room.

Can I export attendance?

Yes. The report exports to CSV, in a standard or an Excel-friendly layout.
