Club finances

Every euro in its place

Your club's money doesn't hide in spreadsheet cells. For every payment that comes in, GoSporto knows how much of it is on invoices, how much is a member's credit and how much hasn't been given to anyone yet. You can split a payment between members, and see per group what was billed and how much of it has come in.

The books only ever get new lines; nothing is overwritten. Invoices and payments go to your accountant as CSV.

How it works

From money in to each group's share

  1. 1

    Money comes in

From a bank statement, a payment entered by hand or a card payment. A payment that names a member is theirs straight away.

  2. 2

    Every euro gets a place

A payment settles the member's invoices, oldest charges first. Whatever is left is their credit, and the next invoice uses it.

  3. 3

    Split the rest

A payment that matched no member is yours to divide: part to one member, part to another, the rest waits.

  4. 4

    See it per group

The services summary shows for each group what was billed, what came in and what is still owed, to the cent.

A payment's money is in three places

Every payment's money is either on an invoice, on a member's balance (theirs, but not on an invoice yet) or free (nobody's yet). The three always add up to the payment.

The payment's window shows exactly that, so no euro ever needs chasing.

One payment, several members

  • A payment that is nobody's can be given in parts to several members or their invoices. The rest stays free on the payment.
  • Money on a member's balance can be put on their invoice, oldest payments first.
  • Money given to the wrong member can be taken back. It is the club's to give again, and the books show it was taken off on purpose.
  • An invoice never takes more than it still owes.

Prepayments don't get lost

When a member pays more, the difference stays on their balance. The next invoicing run first settles their older unpaid invoices from it, then the new invoice.

Members see in their portal what of their payment went to invoices and what is still their credit.

Each group's share

When one invoice carries several groups' fees, the money paid on it is shared between the groups by their part of the invoice. The cents left over from sharing always go the same way, so the lines add up to the total exactly.

A trainer can see the money that came in for their groups if the club allows it: only the payments they took themselves, or every payment on their group's invoices as the group's share. They never see the payer's name, bank account or reference.

For your accountant

  • A period's invoices and payments as CSV, including a layout for Excel (semicolons and decimal commas).
  • A credit note is a line of its own and names the invoice it credits.
  • Each payment shows how much went to invoices, how much to the member's balance and how much is unassigned.
  • Nothing is ever deleted from the books: a correction is a new line, so the history stays whole.

FAQ

Questions

What happens when a member pays more than the invoice?

The difference stays on their balance as credit, and the next invoicing run uses it.

Can one payment be split between several members?

Yes. A payment that is nobody's can be given in parts to several members or their invoices. The rest stays free on the payment.

Can I see how much each group brought in?

Yes. The services summary on the invoices page shows, for a period, what each service billed, what came in and what is still owed, and the total of them.

Does a trainer see all of the club's money?

No. The club decides per trainer and per service whether they see payments at all, only the ones they took themselves, or every payment on their groups' invoices. Other groups' money and the payer's bank details stay hidden.

Can a wrongly matched payment be fixed?

Yes. The link can be taken back: the money goes to the member's balance or is free to give again, and the correction stays in the books as a line of its own.

How does my accountant get the figures?

A period's invoices and payments download as a CSV file, including an Excel layout.
